Long day....
After the organisers' meeting, Matthew and I started to chat via Skype and Googletalk almost every night.
There was an organisers ML(it is still ALIVE), but it was not always the best way to sort things out quicker as usual.
We had many things to be done, to be discussed and to be ignored as soon as possible and ML was not just the best tool.
Venue:
Sun Microsystems in Yoga was just a fabulous place and it really fit the requirement.
Although some organisers didn't like the idea that we had to give the name list of Barcampers, we were not using an open public space this time, therefore for the security reason this kind of registration system is understandable.
Did you know? The view from the 27th floor is stunning!
Food:
It seemed that food for the day was OK. Because we had Fujimamas
restaurant as one of sponsors, and Lauren had professional catering
experiences. This should have not gone wrong. She looked after morning snack and lunch.
Opera promised to provide morning snack - this time it was doughnuts and beverages,
Fujimamas promised to provide ordinary and vegetarian bento box for the lunch, and
Swagat offered chicken and vegetable curry for the dinner .
Hey, we will not starve to death, this is nice :)
Sponsors:
I think Matthew and Rick mainly worked hard to get sponsors. I don't know how they did such smart job.
But we had such nice sponsors and were proud to announce them on the wiki.
I remember - Matthew sometimes said that, he would....(well better to be this secret :P)
Gifts:
Gifts from sponsors started to arrive to Sun at the last week, and Jim and Shoji were responsible for receiving and keeping them.
We have got catalogues and pens from O'Reilly, some goods from Opera, stickers from Mozilla and Google, pens, notes and OpenSolaris CDs from Sun, and so on.
And T-shirts. This was the main thing I could contribute to Tokyo BarCamp 2009 preparation.
Matthew always said that 'T-shirts is importan' and somewhat other organisers also became like him :) I contacted over 10 printing companies, and could get the best quote for one hundred T-shirts. We only had one week to finish up, the logos design had to be done ourselves and finished by Photoshop or Illustrator. Chris did the beautiful design quickly and I could send it to the company just on time. And the printing company's job was so great.
FYI: I strongly suggest that you follow the size varieties like this next time - S(20), M(30), L(30), XL(20) - most BarCampers are not as huge as Americans :p

Also, it was difficult to know who really want to come to Barcamp.
PBwiki is OK tool for collaboration work, but not really the best answer.
As we stated that ' please sign up on wiki ' , most people came and wrote their name with some information such as twitter handle, blog's urls, or other social network urls.
However, some people just put their name without any contact detail - this was hard if you really needed to contact them.
Once you put your name on the wiki for sign up, would you often come back to check the wiki?
I doubt it.
This time we didn't use any ticket system, such as Eventbright, therefore the only way we could see that who wished to come to was BarcampTokyo2009 wiki page.
I still can't believe that - Matthew tried to pick up any information from the history of the wiki if it was possible...he was so patient.
And he has also tried not to upset anybody, he always told me that he really didn't like to be unfair to all. So when we needed to update wiki, we had to be very careful. If we found somebody delete something by mistake, tried it back in order - for instance sign-up list, waiting list etc.
I really really reccomend you to use a ticket system - organising attendance by hand is PAINFUL! :)
15ht May was Stuffing Day. Jim, Shoji, Matthew, Rick and me got together at 27th floor, looked around the venue, made delegate bags and discussed about any concerened topics.
OK, that's it. And.... can you believe?
Until the day before the Tokyo BarCamp, people on the waiting list were looking forward to seeing their names being moved to signed-up list. Until the midnight, Matthew and I tried to contact people...
Ah, I know we were insane!
As We May Think
16th May 2009, at Sun Micro Systems in Yoga, Tokyo
This was a one of must participate (not only attend) events in Tokyo.
Fortunately, I had a chance to be a member of organisers group, so I will write about this event a bit away from the excitement of the day itself.
It was at the beginning of April, I went Tokyo Beer and Blog meeting in Shibuya, then I met our Don, Matthew. He was trying to persuade(sort of) people to come and participate in Tokyo Barcamp. Actually I had no idea why he was doing that, why he had to find people in a pub. He also asked me to come to Tokyo Barcamp - why not, I immediately signed up on the wiki.
Then in the middle of April, there was an organisers meeting at Fujimamas in Omotesando, Tokyo.
Matthew asked me to come to the meeting, and I said ok - this was the first time I met other organisers.
At that time, most things were not confirmed clearly. That was quite worrying thing.
And still, I was not really sure what I could contribute to make it REAL...

ロンドンに居たときにはロンドンとかブライトンとかで開催の案内が何度もTwitterで出てたので
名前は結構なじみがあるけど、日本での開催聞いたことなかったよね
たまたまここ1,2週間で出会った人が主催者なのだけど、
なぜか主催者ミーティングにも来い、と言われ
もっと女子にサインアップして欲しいだの、日本人もっと欲しいだの言われていますーははは
どこで宣伝すればいいんだろう
